Privacy Policy

TalentsGrid ("TalentsGrid", "we", "us") provides an AI hiring copilot for recruiters and hiring teams at talentsgrid.com (the "Service"). This policy explains what personal data we handle, why, who we share it with, and the choices you have. By using the Service you agree to this policy.

TalentsGrid is operated by Truong Cong Dinh, an individual based in Ho Chi Minh City, Vietnam. Contact: support@talentsgrid.com.

1. Who is responsible for which data

• Account data (you, the user): we are the data controller.
• Candidate and hiring data that you upload or create (CVs, notes, interview feedback, job details): you and your company are the data controller and we act as your processor. You are responsible for having a lawful basis to process candidates' data and for informing candidates as required by the law that applies to you.

2. Data we collect

• Account and profile: name, email address, profile photo and sign-in identifiers from the provider you use (for example Google or email sign-in).
• Workspace data: company name, team members and roles, jobs, candidates, CV files and extracted text, notes, scores, pipeline stages, outreach messages and interview schedules.
• AI conversations: messages you send to the hiring assistant, the content it returns, and the actions you approve or reject.
• Billing: plan, invoices, and payment status. Card details are entered with our payment processor and are never stored on our servers.
• Usage and device data: IP address, browser type, pages and features used, AI credit usage, error logs and security logs.
• Support: messages you send to us and the information in them.

3. How we use data

• To provide, secure and maintain the Service, including authentication, storage, search, scoring and the AI features you ask for.
• To meter AI usage against your plan and to bill you.
• To send service emails such as invites, receipts and security notices, and outreach emails that you choose to send to candidates.
• To send you a few emails that help you get started with the product, such as a welcome email when you create your first workspace. Each has an unsubscribe link, and unsubscribing does not stop service emails.
• To detect abuse, debug problems and improve the Service.
• To comply with legal obligations and enforce our terms.

The AI assistant only recommends. It does not accept or reject candidates on its own, and changes it proposes wait for your approval. We do not sell personal data, and we do not use your candidate data to train our own models.

4. Service providers we share data with

We share data only with providers that help us run the Service, under contract and only as needed:

• Cloud and hosting: Cloudflare (hosting, delivery, file storage) and our server infrastructure.
• Authentication: Google Firebase Authentication.
• AI providers: DeepSeek and Google Gemini receive the text needed to answer your request, such as CV text, job details and your chat messages.
• Payments: Stripe.
• Email delivery: Resend and Brevo.
• Messaging: Zalo, when you use that integration.
• Google Drive and Google Sheets: only if you connect your own account. We request limited access (files the app creates, and spreadsheets you choose) to store or export your data where you tell us to. You can disconnect at any time.

We may also disclose data if required by law, to protect rights and safety, or in a merger or sale of the business, in which case this policy continues to apply to your data.

5. International transfers

Our providers operate in several countries, so your data may be processed outside the country where you live. Where required, we rely on contractual safeguards for such transfers.

6. Retention

We keep account and workspace data while your account is active. When you delete data or close your account, we delete or anonymise it within a reasonable period, except where we must keep it for legal, security, fraud-prevention or billing reasons. Backups and logs are removed on their normal rotation.

7. Your data is yours

You can export your workspace data and choose where files are stored (our storage or your Google Drive). Workspace owners can delete candidates, jobs and files at any time.

8. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict or object to our use of your personal data, to withdraw consent, to receive a copy of it, and to complain to your data protection authority. Email us to exercise these rights. If you are a candidate whose data is in a recruiter's workspace, please contact that recruiter or company first, since they control that data; we will help them respond.

9. Cookies and local storage

We use only what is needed to keep you signed in, remember preferences such as language and theme, and keep the Service secure. We do not use advertising cookies.

10. Security

We use encryption in transit, access controls, tenant separation between companies and audit logging of AI actions. No system is perfectly secure, so please use a strong sign-in method and tell us at once if you suspect misuse of your account.

11. Children

The Service is for business use and is not directed to anyone under 16. We do not knowingly collect data from children.

12. Changes

We may update this policy. We will change the date above and, for material changes, notify you in the Service or by email.

13. Browser extension

The TalentsGrid browser extension (available on Pro plans and above) is optional. It works only when you click its toolbar button on a professional profile page that you are viewing. At that moment it reads, in your browser, the profile text already shown on that page (name, headline, job title, company, location and the page address) and shows it to you to review and edit. Nothing leaves your browser until you click Save.

When you save, those fields, plus any email, phone number or note you typed, are sent to your TalentsGrid workspace and become candidate data that you and your company control (section 1). The extension does not run in the background, does not read other pages, does not open or collect contact details, has no analytics or advertising, and does not send page content to anyone else. We do not store the page itself.

The extension keeps on your device an access token that can only check for duplicates and save candidates in one workspace (valid for up to 90 days) and, until you save, an unsent draft of the form. You can revoke the token at any time with Disconnect in the extension or in Settings in TalentsGrid. We record when a token is created, last used and revoked, and which candidates were saved from the extension, in your workspace's activity log. You are responsible for having a lawful basis to save a person's data and for following the terms of the website you save from. TalentsGrid is not affiliated with that website.

TalentsGrid ("TalentsGrid", "chúng tôi") cung cấp trợ lý tuyển dụng AI cho nhà tuyển dụng và đội ngũ nhân sự tại talentsgrid.com ("Dịch vụ"). Chính sách này giải thích chúng tôi xử lý những dữ liệu cá nhân nào, vì sao, chia sẻ với ai và bạn có những lựa chọn nào. Khi sử dụng Dịch vụ, bạn đồng ý với chính sách này.

1. Ai chịu trách nhiệm cho dữ liệu nào

• Dữ liệu tài khoản (của bạn, người dùng): chúng tôi là bên kiểm soát dữ liệu.
• Dữ liệu ứng viên và tuyển dụng do bạn tải lên hoặc tạo ra (CV, ghi chú, đánh giá phỏng vấn, thông tin vị trí): bạn và công ty của bạn là bên kiểm soát dữ liệu, còn chúng tôi là bên xử lý thay bạn. Bạn chịu trách nhiệm có cơ sở pháp lý để xử lý dữ liệu ứng viên và thông báo cho ứng viên theo quy định pháp luật áp dụng với bạn.

2. Dữ liệu chúng tôi thu thập

• Tài khoản và hồ sơ: họ tên, địa chỉ email, ảnh đại diện và mã định danh đăng nhập từ nhà cung cấp bạn dùng (ví dụ Google hoặc đăng nhập bằng email).
• Dữ liệu không gian làm việc: tên công ty, thành viên và vai trò, vị trí tuyển dụng, ứng viên, file CV và văn bản trích xuất, ghi chú, điểm đánh giá, giai đoạn tuyển dụng, tin nhắn tiếp cận và lịch phỏng vấn.
• Hội thoại AI: tin nhắn bạn gửi cho trợ lý tuyển dụng, nội dung trợ lý trả về và các hành động bạn duyệt hoặc từ chối.
• Thanh toán: gói dịch vụ, hóa đơn và trạng thái thanh toán. Thông tin thẻ được nhập trực tiếp với đơn vị xử lý thanh toán và không bao giờ lưu trên máy chủ của chúng tôi.
• Dữ liệu sử dụng và thiết bị: địa chỉ IP, loại trình duyệt, trang và tính năng đã dùng, mức dùng AI credit, nhật ký lỗi và nhật ký bảo mật.
• Hỗ trợ: tin nhắn bạn gửi cho chúng tôi và thông tin trong đó.

3. Chúng tôi dùng dữ liệu như thế nào

• Để cung cấp, bảo mật và duy trì Dịch vụ, gồm xác thực, lưu trữ, tìm kiếm, chấm điểm và các tính năng AI bạn yêu cầu.
• Để tính mức dùng AI theo gói và để thanh toán.
• Để gửi email dịch vụ như lời mời, biên nhận, thông báo bảo mật, và email tiếp cận mà bạn chọn gửi cho ứng viên.
• Để gửi cho bạn một vài email hướng dẫn bắt đầu dùng sản phẩm, ví dụ email chào mừng khi bạn tạo workspace đầu tiên. Mỗi email đều có liên kết hủy nhận, và việc hủy nhận không ảnh hưởng đến email dịch vụ.
• Để phát hiện lạm dụng, sửa lỗi và cải thiện Dịch vụ.
• Để tuân thủ nghĩa vụ pháp lý và thực thi điều khoản của chúng tôi.

Trợ lý AI chỉ đưa ra đề xuất. AI không tự nhận hay loại ứng viên, và các thay đổi AI đề xuất đều chờ bạn duyệt. Chúng tôi không bán dữ liệu cá nhân và không dùng dữ liệu ứng viên của bạn để huấn luyện mô hình của riêng chúng tôi.

4. Nhà cung cấp dịch vụ mà chúng tôi chia sẻ dữ liệu

Chúng tôi chỉ chia sẻ dữ liệu với các nhà cung cấp giúp vận hành Dịch vụ, theo hợp đồng và trong phạm vi cần thiết:

• Đám mây và lưu trữ: Cloudflare (hosting, phân phối, lưu trữ file) và hạ tầng máy chủ của chúng tôi.
• Xác thực: Google Firebase Authentication.
• Nhà cung cấp AI: DeepSeek và Google Gemini nhận phần văn bản cần thiết để trả lời yêu cầu của bạn, ví dụ nội dung CV, thông tin vị trí và tin nhắn trò chuyện.
• Thanh toán: Stripe.
• Gửi email: Resend và Brevo.
• Nhắn tin: Zalo, khi bạn dùng tích hợp này.
• Google Drive và Google Sheets: chỉ khi bạn kết nối tài khoản của mình. Chúng tôi xin quyền truy cập giới hạn (file do ứng dụng tạo ra và bảng tính bạn chọn) để lưu hoặc xuất dữ liệu đến nơi bạn chỉ định. Bạn có thể ngắt kết nối bất cứ lúc nào.

Chúng tôi cũng có thể tiết lộ dữ liệu khi pháp luật yêu cầu, để bảo vệ quyền lợi và an toàn, hoặc trong trường hợp sáp nhập hay chuyển nhượng doanh nghiệp; khi đó chính sách này tiếp tục áp dụng cho dữ liệu của bạn.

5. Chuyển dữ liệu quốc tế

Các nhà cung cấp của chúng tôi hoạt động ở nhiều quốc gia, vì vậy dữ liệu của bạn có thể được xử lý bên ngoài quốc gia bạn sinh sống. Khi pháp luật yêu cầu, chúng tôi dựa vào các biện pháp bảo vệ theo hợp đồng cho việc chuyển dữ liệu này.

6. Thời gian lưu trữ

Chúng tôi lưu dữ liệu tài khoản và không gian làm việc khi tài khoản còn hoạt động. Khi bạn xóa dữ liệu hoặc đóng tài khoản, chúng tôi xóa hoặc ẩn danh dữ liệu trong khoảng thời gian hợp lý, trừ khi phải giữ lại vì lý do pháp lý, bảo mật, phòng chống gian lận hoặc thanh toán. Bản sao lưu và nhật ký được xóa theo chu kỳ luân phiên thông thường.

7. Dữ liệu là của bạn

Bạn có thể xuất dữ liệu không gian làm việc và chọn nơi lưu file (hệ thống lưu trữ của chúng tôi hoặc Google Drive của bạn). Chủ không gian làm việc có thể xóa ứng viên, vị trí và file bất cứ lúc nào.

8. Quyền của bạn

Tùy nơi bạn sống, bạn có thể có quyền truy cập, chỉnh sửa, xóa, hạn chế hoặc phản đối việc chúng tôi sử dụng dữ liệu cá nhân của bạn, rút lại sự đồng ý, nhận bản sao dữ liệu và khiếu nại với cơ quan bảo vệ dữ liệu. Hãy email cho chúng tôi để thực hiện các quyền này. Nếu bạn là ứng viên có dữ liệu nằm trong không gian làm việc của một nhà tuyển dụng, vui lòng liên hệ nhà tuyển dụng hoặc công ty đó trước vì họ kiểm soát dữ liệu này; chúng tôi sẽ hỗ trợ họ phản hồi.

9. Cookie và lưu trữ cục bộ

Chúng tôi chỉ dùng những gì cần thiết để giữ trạng thái đăng nhập, ghi nhớ tùy chọn như ngôn ngữ và giao diện, và giữ an toàn cho Dịch vụ. Chúng tôi không dùng cookie quảng cáo.

10. Bảo mật

Chúng tôi dùng mã hóa khi truyền dữ liệu, kiểm soát truy cập, tách biệt dữ liệu giữa các công ty và ghi nhật ký kiểm toán cho các hành động AI. Không hệ thống nào an toàn tuyệt đối, vì vậy hãy dùng cách đăng nhập mạnh và báo ngay cho chúng tôi nếu nghi ngờ tài khoản bị lạm dụng.

11. Trẻ em

Dịch vụ dành cho mục đích kinh doanh và không hướng đến người dưới 16 tuổi. Chúng tôi không cố ý thu thập dữ liệu của trẻ em.

12. Thay đổi

Chúng tôi có thể cập nhật chính sách này. Chúng tôi sẽ đổi ngày ở trên và, với thay đổi quan trọng, thông báo cho bạn trong Dịch vụ hoặc qua email.

13. Tiện ích trình duyệt

Tiện ích trình duyệt TalentsGrid (có trong gói Pro trở lên) là tùy chọn. Tiện ích chỉ hoạt động khi bạn bấm nút của nó trên thanh công cụ, tại một trang hồ sơ nghề nghiệp mà bạn đang xem. Lúc đó, ngay trong trình duyệt của bạn, tiện ích đọc phần văn bản hồ sơ đã hiển thị sẵn trên trang (họ tên, tiêu đề, chức danh, công ty, địa điểm và địa chỉ trang) và hiển thị cho bạn xem lại, chỉnh sửa. Không có gì rời khỏi trình duyệt cho đến khi bạn bấm Lưu.

Khi bạn lưu, các trường đó cùng email, số điện thoại hoặc ghi chú bạn đã nhập được gửi tới không gian làm việc TalentsGrid của bạn và trở thành dữ liệu ứng viên do bạn và công ty của bạn kiểm soát (mục 1). Tiện ích không chạy ngầm, không đọc trang khác, không mở hay thu thập thông tin liên hệ, không có phân tích hay quảng cáo, và không gửi nội dung trang cho bên nào khác. Chúng tôi không lưu chính trang đó.

Tiện ích lưu trên thiết bị của bạn một mã truy cập chỉ có thể kiểm tra trùng lặp và lưu ứng viên trong một không gian làm việc (hiệu lực tối đa 90 ngày) và, cho đến khi bạn lưu, một bản nháp chưa gửi của biểu mẫu. Bạn có thể thu hồi mã bất cứ lúc nào bằng nút Ngắt kết nối trong tiện ích hoặc trong Cài đặt của TalentsGrid. Chúng tôi ghi lại thời điểm mã được tạo, dùng lần cuối và thu hồi, cùng những ứng viên đã được lưu từ tiện ích, trong nhật ký hoạt động của không gian làm việc của bạn. Bạn chịu trách nhiệm có cơ sở pháp lý để lưu dữ liệu của một người và tuân thủ điều khoản của trang web nơi bạn lưu. TalentsGrid không liên kết với trang web đó.
