How does TalentsGrid handle candidate data?
CV files sit in TalentsGrid storage or in your own Google Drive, as each workspace chooses. DeepSeek and Google Gemini receive what each AI request needs, and Gemini gets the whole CV file when it reads a CV. TalentsGrid does not use your CVs to train AI models. Backups are kept 14 days, and you export or delete data yourself.

Each provider processes data under its own terms. Candidate emails do not go through this list: they open as drafts in your own mailbox, and you send them.
What is encrypted
Google connection tokens (for Drive and Sheets) and AI provider keys are encrypted with AES-256 before they are stored. Traffic to talentsgrid.com and the app runs over HTTPS. That is the complete list: TalentsGrid adds no encryption of its own to CV files or candidate records.
How long data is kept
- Workspace data stays until you delete it, or until the workspace is deleted.
- A candidate is deleted when you delete them, or by the optional "Delete candidates you did not hire" setting after 6, 12 or 24 months with no change. Their CV files in TalentsGrid storage go with them.
- AI activity log entries expire after 180 to 365 days, depending on the task, and a daily job purges them.
- Database backups run nightly and are kept 14 days, so deleted data leaves the backups within 14 days.
- Deleting your account deletes the workspaces where you are the only member.
AI and your CVs
TalentsGrid does not use your CVs to train AI models. To answer a request, DeepSeek or Google Gemini receives the text it needs: CV text, job details or your message. To read a CV file into a profile, Gemini receives the whole file, including a photo if the CV has one.
For scoring, the birth year is removed from the input, and the scoring prompt tells the model to ignore photo, age, gender, religion and marital status. That is an instruction to the model, so every score also shows the quotes from the CV that it rests on, and you can check them.
The AI recommends and you decide. New records, edits and imports wait for your approval, stage moves run only when you click, and the AI activity log records each call with its model and credit cost.
Who in your team sees what
Five built-in roles plus custom roles for each workspace. Contact details and salary can be hidden per role. The workspace activity log records invitations, role changes and removals, and a shortlist link you send a client can be revoked at any time. The details are on the candidate data page.
Export and delete
The owner or an Admin clicks "Download all data" in the workspace settings to get all workspace data, CV files included, as one ZIP. Deleting a candidate deletes their CV files in TalentsGrid storage, while files in your own Google Drive stay in your Drive. Workspace and account deletion are self-serve. Which AI providers receive candidate data?
DeepSeek and Google Gemini. Each receives the text a request needs, such as CV text, job details or your chat message. When Gemini reads a CV file into a profile, it receives the whole file. TalentsGrid does not use your CVs to train AI models.
